Questions we get asked

Is Odoo 18 Documents in the Community edition?

No. The Documents app is licensed OEEL-1 and needs an Odoo Enterprise subscription, as does the Sign app it sends files to for signature. Community databases can still attach files to any record through the chatter and keep them in the filestore, but they do not get workspaces, tags, the split tool or the document workflow actions.

How are files organised in Odoo 18 Documents?

By workspace and tag rather than by folder path alone. A workspace carries its own access rights and its own tag categories, so Finance, HR and Legal each see only their own area, and files are filtered by tags such as To Validate, Signed or a period. Sub-workspaces inherit their parent's rights unless you deliberately override them.

Can documents reach Odoo without being uploaded by hand?

Yes. A workspace can have an email alias, so anything mailed to that address is filed along with its attachments. Other apps push files in too: vendor bills, expense receipts, payslips and signed documents are routed into the workspace configured for them, and you can still drag files in from the desktop or from a scanner's output folder.

How do approvals work on documents in Odoo 18?

Each workspace has actions you define, and one of them can assign the file to a colleague for validation: it appears in their activities, and what they do is logged in the document's chatter with a timestamp. For structured multi-step sign-off with named approvers and request types, Odoo has a separate Approvals app, which is also Enterprise-licensed.

Is the e-signature in Odoo 18 legally binding?

Odoo Sign produces a signed PDF together with an audit trail recording the signers, their email addresses, IP addresses and timestamps. Odoo documents it as meeting the requirements of the eIDAS regulation in the European Union and the ESIGN Act in the United States. Whether a specific document needs a qualified signature instead is a question for your own counsel.
