Odoo 18 Payroll builds payslips from salary structures made of ordered salary rules, driven by work entries generated from the employee's schedule, approved time off and attendance — so absences and overtime reach the payslip without re-keying. Validated payslips post journal entries to accounting, and employees download their own payslips from the portal. Payroll is an Odoo Enterprise app, and the country rules come from localisation modules.
Manual payroll is time-consuming, error-prone, and risky. Odoo 18 offers a powerful payroll module (available in supported regions like India, the U.S., and Europe) that handles salary calculations, deductions, taxes, and payslips — all integrated with HR and accounting systems.
Creating Salary Structures and Rules
Odoo lets you define reusable salary structures that fit your business and regulatory needs:
- Set basic pay, HRA, bonuses, and allowances
- Create formulas based on working days, attendance, or conditions
- Link salary rules to contract types or departments
- Set tax rules and contribution rates (e.g., PF, ESI, income tax)
Once defined, structures can be assigned to multiple employees automatically.
Generating Payslips and Payroll Batches
Odoo 18 makes payslip generation a breeze:
- Run payroll for all employees at once or per batch (e.g., by department)
- Auto-calculate gross and net pay
- Apply leave deductions or overtime bonuses automatically
- Approve and lock payslips to avoid accidental edits
Batch operations save time and prevent inconsistencies.
Deductions, Allowances, and Taxation
Flexible salary rules let you handle complex scenarios with ease:
- Tax slabs, exemptions, and professional tax
- Provident fund (PF), Employee State Insurance (ESI)
- Loan deductions or advances
- Custom deductions (e.g., meals, uniforms)
You can also link these rules to specific countries or employee categories.
Employee Payslips and Self-Service
Employees can access their payslips directly from their portal:
- Download monthly payslips
- View payment history
- Track leave deductions and bonuses
- Get real-time breakdown of gross and net pay
This reduces HR workload and improves transparency.
Compliance and Local Regulations
Odoo's payroll is built to comply with local labor laws and tax structures in supported countries:
- Income tax calculation and forms (e.g., Form 16, 24Q)
- PF and ESI filings (India)
- Social security, Medicare, and W-2 generation (U.S.)
Compliance is simplified — and updates are applied with new versions as laws change.
Integration with Accounting
Approved payslips generate journal entries automatically:
- Map salary components to different accounts
- Post payroll expenses to general ledger
- Reconcile payroll payments with bank statements
- Generate salary liability and payment reports
All without any manual bookkeeping.
Best Practices for Payroll Management
- Use templates to standardize salary structures
- Audit rules and formulas periodically
- Automate recurring deductions and allowances
- Keep contracts and HR records updated
- Use payroll reports to review cost trends monthly
Conclusion
Odoo 18 takes the stress out of payroll. With its smart automation, integrated compliance tools, and deep accounting integration, you can pay your people correctly and on time — without spreadsheets or external systems.

Questions we get asked
Is Odoo 18 Payroll available in Odoo Community?
No. Payroll is an Odoo Enterprise app, as are the module that posts payslips to accounting and every country payroll localisation. On Community you can keep employees, contracts, time off and attendance records, but people would be paid through an external payroll system or a third-party module. If payroll inside Odoo is the goal, budget for an Enterprise subscription.
Which countries does Odoo 18 Payroll support?
Odoo maintains payroll localisations for a defined list of countries — India, the United States, Belgium, France, the United Arab Emirates, Australia, Hong Kong, Luxembourg, Morocco, the Netherlands and others — each shipping the salary rules, contribution rates and statutory documents for that country. If yours is not covered, the payroll engine still works, but somebody has to write the salary rules and report layouts for your legislation.
How do leave and attendance reach an Odoo 18 payslip?
Through work entries. Odoo 18 generates a work entry for every day in the period from the employee's working schedule, then replaces the days covered by approved time off or recorded attendance with the matching type — paid leave, sick leave, unpaid leave, overtime. The payslip reads those entries, so the worked-days table and the resulting deductions follow what HR already approved.
Does Odoo 18 Payroll post to the accounts?
Yes, with the payroll accounting module. Each salary rule can be mapped to a debit and a credit account, so validating a payslip or a whole payslip batch creates the journal entry covering salary expense, statutory contributions and the net amount owed to employees. Paying the net from the bank then reconciles against that entry like any other payable.
Can employees see their own payslips in Odoo 18?
Yes. Employees with portal access sign in and find their payslips on their own record, where they can open the breakdown of gross, deductions and net and download the document. HR does not have to email files one by one, and older payslips stay available, so a question about a past month is usually answered by the employee before it reaches anyone.
