Field service management in Odoo 19

How Odoo 19 Field Service handles on-site tasks, scheduling, worksheets, products used on site, timesheets and invoicing, and what to set up first.

Odoo 19 Field Service (industry_fsm, Enterprise) is a layer on Project and Timesheets: each visit is a task with a customer, a planned start and end, a technician and a timer. Worksheets record what was done and get signed on site, products used are added to the task, and Mark as done turns the time and materials into a confirmed sales order ready to invoice. Set up one Field Service project, one service product and one worksheet template before you touch anything else.

What Odoo 19 Field Service is built on

Field Service depends on Project (Enterprise views), Timesheets and geolocation. A Field Service project is an ordinary project with the Field Service box ticked. Installing the app creates one called Field Service, with timesheets enabled and five stages: New, Planned, In Progress, Done and Cancelled.

The features you switch on live in two places. Under Field Service > Configuration > Settings there are Time and Material Invoicing and Worksheet Templates. On each Field Service project you then choose which of these it uses, plus options such as Products on Tasks and Extra Quotations.

Because it is project-based, anything you already know from Projects applies: stages, tags, activities, customer ratings and the portal.

Scheduling tasks and planning technicians

A field task has a customer, address, planned dates and one or more assignees. The menus are organised around the technician's and the dispatcher's day:

  • My Tasks, with a list and a Map of the technician's visits.
  • All Tasks > To Schedule for tasks without planned dates, the dispatcher's inbox.
  • Planning by user, by project, by location and (with worksheets) by worksheet template, as Gantt views you can drag tasks across.

Tasks can come from anywhere a task can: created by hand, from a sales order with a service product set to create a task, from a helpdesk ticket (see part 17) or from an incoming email.

On site, the technician starts the timer on the task and stops it when done. Those timer entries become timesheet lines on the task, which is what later gets billed.

Worksheets and the customer report

With Worksheet Templates enabled (industry_fsm_report, which needs Studio), each project or task gets a template: the checklist, readings and notes the technician fills in. Templates are designed in Studio, so they can have exactly the fields your job needs, such as meter readings, model and serial numbers, or a pass/fail checklist.

When the work is done, Sign Report opens the report preview for the customer to sign on the technician's phone or tablet; the signature and signer's name are stored on the task. Send Report emails it. A project option can hide prices on the customer report and portal.

The worksheet is the evidence. If it is not filled in on site, the invoice becomes an argument.

Keep templates short. A technician in a customer's plant room fills in eight fields; they do not fill in forty.

Products used on site and stock

With Products on Tasks, the task gets a Products button where the technician adds the spares and consumables used from a product catalogue. These lines go onto the task's sales order.

When Inventory is installed, the Field Service Stock module (installed automatically) creates and validates the delivery for those products when the task is marked done, so stock is reduced from the right warehouse. If technicians carry van stock, model each van as a location or warehouse (see part 12) so the stock figure reflects reality.

The Extra Quotations option adds New Quotation to the task, for the common case where the technician finds more work than was booked and needs the customer's approval before doing it.

From time and material to invoice

With Time and Material Invoicing (industry_fsm_sale), the project is billable and has a service product for time. Clicking Mark as done on the task:

  1. Offers to stop any running timers and records the timesheets.
  2. Creates a sales order for the task if there is none, with a line for the time spent and lines for the products used.
  3. Confirms that sales order, and with Inventory validates the delivery of the products.
  4. Leaves the task ready for Create Invoice; the All Tasks > To Invoice menu lists what is waiting.

The mistake we see most is technicians marking tasks done from the office at the end of the day. Timers left running overnight inflate the time line, products get remembered rather than recorded, and the customer never signed anything. Mark as done belongs on site, straight after the signature.

Tick Under Warranty on a task and its time and materials are not billed to the customer. If you also run Subscriptions for annual maintenance contracts, the Field Service - Sale Subscription bridge installs automatically; subscriptions are covered in part 11.

A sensible field service rollout order

  1. One Field Service project with timesheets and the stages you actually use.
  2. A time product with price, SAC code and GST; enable Time and Material Invoicing.
  3. Technicians as users with working schedules; test the Map and Planning views.
  4. One worksheet template for your most common job, signed on site.
  5. Products on tasks, van stock locations, and delivery validation.
  6. Later: extra quotations, warranty handling, helpdesk-to-task, subscriptions.

Where the pieces live in Odoo 19

Questions we get asked

Is Field Service available in Odoo Community?

No. Field Service (industry_fsm) and its worksheet, sale and stock extensions are Enterprise-only modules in Odoo 19. It depends on Enterprise Project views and Timesheets, and worksheet templates also need Studio. Community users can approximate it with ordinary project tasks and timesheets, but without the map, the field planning views, signed worksheets or automatic time-and-material sales orders.

How does Odoo 19 invoice a field service visit?

With Time and Material Invoicing enabled, clicking Mark as done on the task stops running timers, creates or updates a sales order with a line for the time spent and lines for the products used, confirms it and, with Inventory, validates the delivery of those products. The task then shows Create Invoice, and the To Invoice menu lists every task waiting to be billed.

Can customers sign a field service report in Odoo?

Yes. With Worksheet Templates enabled, the Sign Report button opens the report preview so the customer can sign on the technician's device. Odoo stores the signature and the signer's name on the task, and Send Report emails the signed report. The project can be set to hide prices on the customer report and portal if your technicians should not show them.

Do field technicians need a paid Odoo user each?

Each technician who logs in to record timers, worksheets and products needs an internal user, and on Enterprise internal users count towards your subscription. Customers who only view or sign reports do not need an internal user. Check current plans and pricing on odoo.com/pricing before sizing a team, especially if you use subcontracted technicians.
